Brand Transfer Instructions

You have pivoted to a new brand. This page shows you exactly how to hand over your previous brand's accounts so our team can take it from here.

This is the single email address our build team uses across every platform. Use it for all invites, admin permissions and ownership transfers listed on this page.

Before You Start

Two things that make the whole process faster.

Only complete the sections that apply to your old brand. If you never set up Google Ads or a Klaviyo account, skip that step and tell us in Slack.

Shopify Store Access
Do this one first, everything else depends on it

We access your store through a Shopify collaborator request rather than your login, so you never need to share your password. Send us your store URL first, then accept the request we send.

Step A: Send us your store URL

  • Post your old brand's Shopify URL in your Slack channel, for example yourbrand.myshopify.com
  • We use this to send the collaborator access request

Step B: Turn off the collaborator request code

  • In your Shopify admin, go to Settings > Users and permissions
  • Find the Collaborators section
  • Untick the option requiring a collaborator request code, so our team can send the request without one
  • Let us know in Slack once this is done, then we will send the request

Step C: Accept our collaborator request

  • Log into your Shopify admin and go to Settings > Users and permissions
  • Scroll down to the Collaborators section and find the pending request
  • Click Review request
  • Leave the requested permissions as they are, do not untick any boxes, we need full access to rebuild the store
  • Scroll to the bottom and click Accept request

Please Note

  • If two-factor authentication is switched on for your Shopify account, it can block our team from working. Let us know in Slack if you have it enabled and we will tell you when it needs to be off.
  • We never change your Shopify password. Collaborator access is how we work inside your store.

Klaviyo (Email Marketing)
Admin user invite

Add our build email as an Admin user so we can move your flows, templates and subscriber list across.

Steps

  • Log in to your Klaviyo dashboard
  • Click your account name in the bottom left corner
  • Click Settings
  • In the Settings menu, select Users
  • Click Add User in the top right
  • Enter this email address: build@freedomclub.com
  • Set the User Role to Admin
  • Click Send Invite

Please Note

  • The role must be Admin. Lower roles will not let our team edit flows or templates.
  • Tell us in Slack once the invite is sent so we can accept it straight away.

Facebook and Instagram
Meta Business Suite, full access

Your Facebook Page, Instagram account and ad account are all managed through Meta Business Suite. Invite our build email and assign it to each asset.

Steps

  • Open your Meta Business Suite at business.facebook.com
  • Click Settings in the bottom left corner
  • Under the Users tab, select People
  • Click Invite people in the top right
  • Enter build@freedomclub.com and click Next
  • Choose the access level: select Full Control
  • Assign assets: tick your Facebook Page, your Instagram account and your Ad Account, and tick the tasks for each
  • Review the invitation details and click Send invitation

Please Note

  • Full Control is required. Partial Access is the most common reason our team cannot complete the handover and has to ask you to redo this step.
  • If Meta blocks the invite, or asks you to verify with an old phone number you no longer use, post a screenshot in Slack and we will work through it with you.

Google Workspace and Google Ads
Admin console and ad account

If your old brand had a business email on your domain, or a Google Ads account, we need admin access to both.

Google Workspace, business email on your domain

  • Sign in to the Google Admin console at admin.google.com
  • To check your domain is connected, go to Account > Domains > Manage domains and confirm the Status column shows the domain as verified
  • Post your Google Workspace login details in your Slack channel so our team can access the account

Google Ads

  • Post your Google Ads customer ID in your Slack channel, it is the ten digit number in the top right of your Google Ads dashboard
  • Our team will send an access request from our manager account, which you accept from inside Google Ads

Please Note

  • Only share credentials inside your private Slack channel, never over public email or social media.
  • If you are unsure whether you ever set up Google Workspace or Google Ads for the old brand, just tell us and we will check from our side.

Your Domain
Registrar access

Your domain sits with whichever provider you bought it from, commonly GoDaddy, Namecheap, Shopify or Google Domains. We need access so we can point records correctly and set up email sending.

Steps

  • Tell us in Slack which provider your old brand's domain is registered with
  • Share the login details for that provider in your private Slack channel
  • Our team will handle the DNS records needed for the store and for email sending

Please Note

  • Do not cancel or let the domain expire while the transfer is in progress.
  • If you are not sure who your provider is, post the domain name in Slack and we will look it up for you.

Apps and Subscriptions
Stop paying for the old brand

Once we have access, we will review what your old brand is still paying for and tell you exactly what to keep and what to cancel, so you are not paying for tools the new brand will not use.

What to send us

  • A list of any paid apps or subscriptions attached to the old brand, including the Shopify plan, review apps, page builders and any analytics tools
  • Login details for any tool that is not connected through Shopify, posted in your private Slack channel

Please Note

  • Do not cancel anything before we confirm. Some apps hold data or store settings we need to move across first.
  • We will send you a short cancel list once the review is done.

Once You Are Done

Post in your Slack channel to let your Brand Build Manager know which sections you have completed. Our team will verify each one from our end and come back to you if anything did not come through.

Common Questions

Does giving you access mean you own my old brand?

No. You remain the owner of your business and every account at all times. We act purely as your service provider. Granting access simply lets our team work inside the accounts on your behalf, and you can remove that access at any point.

Do I have to give you my Shopify password?

No. We use a Shopify collaborator request, which is Shopify's official way of giving an agency access without sharing your login. You accept the request from inside your own admin and you can revoke it whenever you like.

Why do you need Full Control on Meta rather than Partial Access?

Partial Access does not allow our team to manage the Page, the Instagram account and the ad account together, which is what the rebuild requires. It is the single most common reason a handover stalls and we have to come back and ask you to redo the step.

What if I never set some of these accounts up?

That is completely fine. Only complete the sections that apply to your old brand and tell us in Slack which ones do not. Nothing on this page is compulsory if the account does not exist.

Where do I share login details safely?

Always inside your private Slack channel with our team. Never send credentials over public email, social media direct messages or to anyone who has not been introduced to you as part of your build team.

Should I cancel my old subscriptions now?

Not yet. Some apps hold store data or settings we need to move across first. Give us the list, let us complete the review, and we will send you a short list of exactly what is safe to cancel.

How long does the transfer take?

The speed depends almost entirely on how quickly the access steps above are completed. Once every section is done and verified from our end, your Brand Build Manager will confirm in Slack and the rebuild begins.
